Detention protocol
“Detained,” “ICE,” “deportación”: standard intake stops, the key facts are captured and the attorney on duty is called immediately. See the protocol.
Engine 01 · Front Desk
VoxCross answers every inquiry in English or Spanish, qualifies it against the case types you take, runs a conflict check, books the consult, and puts a one-page brief on the attorney’s desk before the client walks in.
Why generic receptionists fall short
A caller whose brother was detained last night, a spouse asking about a green card, an asylum seeker with a deadline they don’t know about. Each needs different questions, a different urgency, and often a different language.
General answering services and generic AI receptionists take messages. The message sits until someone calls back, and by then the family has often called three other firms. The ones that do book arrive at the consult without the facts the attorney needs.
VoxCross Front Desk is trained on immigration intake. It knows the difference between an I-130 and an I-485, what an RFE is, why a prior removal matters and what to do the moment someone says “detenido.” It follows your rules: which case types you take, which you refer out, whether consults are paid, and who is on duty tonight.
It never gives legal advice. It gathers facts, books the consult and hands the attorney everything they need to make the call.
How it works
Every step runs on your phone line, your calendar and your case software. Your staff doesn’t change how they work.
English or Spanish, switching mid-call if the caller does, with the receptionist name and voice your firm chooses. Callers hear a recording disclosure at the start.
Asks the questions you approved for family, removal defense, asylum, naturalization, DACA, TPS and the rest. Out-of-scope calls get your preferred referral.
Checks the caller and the other people named against the contacts in your case software and flags any potential conflict for review before the consult.
Puts qualified callers on the right attorney’s calendar, and collects the consultation fee by payment link if your firm charges one.
The client gets a checklist for their case type, in their language, before they arrive, so the consult isn’t wasted.
The Consult Prep Dossier: who they are, what they said, the documents requested and the red flags worth a question.
Up to five touches over seven days by call, email and text (with consent), until they book or say no.
Built in
“Detained,” “ICE,” “deportación”: standard intake stops, the key facts are captured and the attorney on duty is called immediately. See the protocol.
A form submitted at 11 p.m. gets a call back while the person is still holding their phone, not the next morning.
Marketing agencies, software vendors and robocalls are screened out politely. Your team only hears from people who need a lawyer.
Tell us your practice areas and referral partners once. The intake follows them on every call, at every hour.
Existing clients and anyone who asks for staff are transferred during office hours or booked for a callback.
Contact, case type, transcript translated to English and the recording go into Clio or MyCase. No double entry.
What it will not do
FAQ
It is a voice agent that answers your firm’s calls in English and Spanish, asks the intake questions your staff would ask for each case type, books qualified callers into your calendar and logs everything in your case software. VoxCross adds immigration-specific handling: detention emergencies, conflict checks and a prep brief for the attorney.
The agent sounds natural, but it does not pretend to be a person. It can identify itself as the firm’s virtual assistant, and any caller who asks for a human is routed to your team or scheduled for a callback.
The questions you approve for each case type: who the call is about, the immigration situation in the caller’s own words, any upcoming dates, prior applications, and contact details. It gathers facts only and never tells a caller whether they qualify for anything.
You decide. Many firms forward overflow and after-hours calls; others let it answer everything and transfer existing clients to staff. You can change the schedule at any time.
Clio and MyCase connect directly, and Google Calendar and Outlook work out of the box. For Docketwise, LollyLaw and other systems we confirm what can be connected on the demo.
Your line is answering within 24 hours of signing. Integrations, the conflict check and the Consult Prep Dossier are connected during the first week.

On the demo we set the system up with your firm’s name, you call it from your own phone, and you watch the summary, the calendar entry and the prep brief arrive. If it isn’t obviously useful in the first five minutes, we hang up.
